It’s not just what we say, but how and when  we say it that matters. The way a message is delivered can shape relationships and strengthen collaboration. At Pencoys, we offer a range of channels to support ongoing dialogue between home and school, ensuring families stay informed and involved every step of the way.

Arbor

The school uses Arbor to send messages to families. This us not a reply service

Class Dojo

Class Dojo is accessible via web browsers on laptops or desktop computers, but for the best experience, we suggest downloading the free app on your smartphone or tablet and signing in from there.

The platform is designed to give parents a window into their child’s classroom experience. It encourages  conversations at home by sharing snapshots of classroom learning and activities. Access is restricted to parents who have been issued a login , ensuring privacy.  Updates may be limited to a specific class or extended to include whole-school events.

Class Dojo also serves as a communication tool between teachers and parents for general updates. However, please note that urgent messages—such as changes to pick-up arrangements or medical appointments—should always go through the school office, as teachers may not be able to check Dojo during the school day. Teachers may use the app to share reminders, celebrate student achievements, or confirm that letters have been sent home. For key details about trips or events, formal letters will continue to be the primary method of communication.

Telephone Calls

Incoming Calls

All calls to the school are answered by our main office. To avoid disrupting lessons, teaching staff will only be contacted directly in urgent situations. Otherwise, messages will be taken and passed on to the appropriate person. If a response is needed from a teacher, we aim to reply within 48 hours. In many cases, office staff may be able to provide the necessary information to families directly.

Outgoing Calls
When it’s essential to reach a parent or guardian—such as in cases of illness or injury—a staff member will contact the first listed emergency number. If that person is unavailable, we will continue down the list of emergency contacts. Should no one be reachable in real time, we will leave a voicemail or continue attempting to make contact until successful.

 

Newsletters

A weekly newsletter link will be send via Class Dojo  to all parents and is also available on the school website. This will include: a list of diary dates, school notices, a headteacher message, attendance overview, awards and celebrations,  an insight into learning in other classes across the school; safeguarding updates and mental health support/ signposts.

Learning overview

Half termly learning overviews and homework grids are sent out  at the beginning of each half term via Class Dojo which informs families of upcoming learning across the curriculum and key knowledge that is to be learned.

Parent Consultations

Each academic year, families are invited to attend two scheduled 10-minute meetings with their child’s teacher. Appointments are booked in advance for designated dates and times. If you’re unable to attend your allocated slot due to unforeseen circumstances, your child’s teacher will offer one alternative meeting time.
We understand that questions and concerns can arise outside of these scheduled sessions. Families are always welcome to request additional meetings throughout the year to discuss their child’s progress, well-being, or any other matters they feel are important.

 

Annual Reviews for Children with an Education Health and Care Plan

Every child with an Education, Health and Care Plan (EHCP) will take part in an Annual Review together with the parent/ carer This meeting provides an opportunity to reflect on their progress and evaluate how well they are meeting the goals outlined in their plan.
In addition to the yearly review, termly meetings are held to monitor the effectiveness of the support in place and to ensure that the provision continues to meet the child’s evolving needs.
